Refund & Cancellation Policy

This Refund & Cancellation Policy ("Policy") applies to all services provided by NutriGlow Private Label (nutriglowprivatelabel.com). This Policy should be read in conjunction with our Terms & Conditions.

Important: Due to the custom nature of private-label manufacturing, different timelines and conditions apply compared to standard retail purchases. Please review this policy carefully before placing orders.

1) Policy Overview

Private-label manufacturing involves custom formulations, specialized packaging, and procurement of materials specifically for your order. Our cancellation and refund policies reflect the unique nature of this business model.

  • Pre-production cancellations: More flexible terms apply
  • Post-production cancellations: Limited refund options
  • Quality issues: Full protection for manufacturing defects
  • Custom orders: Generally non-refundable once materials are procured

2) Cancellation Timeline

The following timeline applies from the date of order confirmation and initial payment receipt:

Day 0-2: Free Cancellation Period

Orders can be cancelled with full refund within 48 hours of order confirmation, provided no materials have been procured.

Day 3-7: Limited Cancellation

Cancellation possible with 10% administrative fee. Materials procurement may have commenced - additional charges may apply for any materials already ordered.

Day 8-14: Restricted Cancellation

Cancellation subject to 25% administrative fee plus cost of any procured materials, components, or custom packaging.

Day 15+: Production Stage

Cancellations generally not permitted once production has commenced. Any cancellation subject to full cost recovery for materials, labor, and administrative costs.

Note: Timeline may vary based on order complexity, custom formulations, and seasonal demand. Specific timelines will be confirmed in your order documentation.

3) Order Stages & Cancellation Rules

Stage 1: Order Confirmation (Days 0-2)

  • Order received and confirmed
  • Initial payment processed
  • Cancellation: Full refund available
  • Refund timeline: 5-7 business days

Stage 2: Material Procurement (Days 3-14)

  • Raw materials and packaging components ordered
  • Custom labels and packaging designed
  • Cancellation: Partial refund minus procurement costs
  • Refund timeline: 10-14 business days

Stage 3: Pre-Production (Days 15-21)

  • Production scheduling confirmed
  • Quality control samples prepared
  • Cancellation: Limited refund options
  • Refund timeline: 14-21 business days

Stage 4: Production (Days 22+)

  • Manufacturing in progress
  • Products being filled and packaged
  • Cancellation: Generally not permitted
  • Alternative: Order modification may be possible

4) Refund Conditions

Eligible for Full Refund:

  • Manufacturing defects or quality issues
  • Products not matching approved specifications
  • Delivery delays exceeding 30 days beyond confirmed date (excluding force majeure)
  • Cancellation within 48-hour free cancellation period

Eligible for Partial Refund:

  • Cancellation during material procurement stage
  • Order modifications reducing quantity or specifications
  • Mutual agreement due to supply chain issues

Not Eligible for Refund:

  • Change of mind after production commencement
  • Market conditions or business strategy changes
  • Regulatory issues in client's target market (unless we were informed beforehand)
  • Force majeure events affecting delivery
  • Custom formulations or packaging (unless defective)

5) Quality Issues & Returns

Quality Guarantee: We stand behind our manufacturing quality and will address legitimate quality concerns promptly.

Reporting Quality Issues:

  • Timeframe: Report issues within 7 days of delivery
  • Documentation: Provide photos, batch numbers, and detailed description
  • Inspection: Products may need to be returned for laboratory analysis
  • Resolution: Replacement, credit, or refund at our discretion

Quality Issue Examples:

  • Incorrect formulation or color
  • Packaging defects or labeling errors
  • Contamination or stability issues
  • Quantity discrepancies

6) Payment & Refund Process

Refund Method:

  • Refunds processed to original payment method
  • Bank transfers: 5-10 business days
  • Credit cards: 7-14 business days (depends on card issuer)
  • International transfers: Additional processing time may apply

Refund Documentation:

  • Written refund authorization required
  • Detailed breakdown of refund calculation
  • Reference number provided for tracking
  • Email confirmation sent upon processing

Currency & Fees:

  • Refunds processed in original payment currency
  • Bank charges and forex fluctuations may affect final amount
  • Administrative fees as outlined in cancellation timeline

7) Force Majeure & Delays

In cases of force majeure events (pandemic, natural disasters, supplier issues, regulatory changes), normal cancellation terms may be suspended:

  • Communication: We will notify clients promptly of any delays
  • Options: Clients may choose to wait, modify orders, or cancel
  • Refunds: Prorated refunds based on work completed and materials procured
  • Timeline: Extended refund processing times may apply
COVID-19 Notice: Supply chain disruptions and regulatory changes may affect normal processing times. We will work with clients to find mutually acceptable solutions.
